Free Excel download · Made for your team
Keeping track of everyone’s training is enough of a job without building a spreadsheet from scratch. We’ve put together an editable Excel template to help you organise your team’s records and see what needs a closer look.
This is an Excel spreadsheet you complete yourself. Orgma Shared is our separate online software: it collects inductions, reads certificate details for your review and keeps approved records and evidence together. Try the software free if that is what you are looking for.
The full workbook is free to keep. No card, password or Orgma account needed.

Rename the training columns to match your roles and projects. Record what the evidence says, then use the colours to decide what to review.
| Person | First aid | IPAF | Asbestos awareness | Evidence reference |
|---|---|---|---|---|
| Alex Morgan | Later expiry | Due soon | N/A | Alex / certificates |
| Sam Taylor | Missing | Later expiry | Not reviewed | Sam / certificates |
Dates are a review aid. A green cell does not establish competence or verify a certificate. You decide the requirements and check the evidence.
When you’re ready to let Orgma do more
We’re giving you the template because a good spreadsheet can make life easier. But the work doesn’t stop once you’ve filled it in. New certificates arrive, dates change, and the next update is always waiting.
That’s where Orgma Shared comes in. Upload your certificate photos or PDFs and let Orgma read the details for you. Check and confirm them, then see your training matrix take shape with the original evidence alongside it. Less retyping and searching through folders, more time for the important stuff.
You can try Shared’s Free plan with up to five people while your spreadsheet still holds your whole team. Create and confirm your account, then we’ll help you get started with your first certificate.

Yes. Copy the last prepared row down, including its formulas and formatting. The spreadsheet has no licence limit on people. Orgma Shared’s Free plan is a separate online service with its own limits.
It is an Excel .xlsx workbook. Google Sheets can import this format, but check the date formats, formulas and colours after importing. We have verified the Excel file structure and calculations; we have not tested a Google Sheets import.
Orgma has a spreadsheet import preview. For a team larger than five people, try a copy containing a small sample in Free, or choose a suitable paid plan. Check the detected people, qualification columns and dates before saving. Original certificate files need to be added separately. The workbook guide explains how to prepare an import copy.
You can keep it and try Orgma’s import preview, or start by uploading one certificate. You do not need to retype everything into this template first.
