Your template request and email choices

Effective 23 October 2026. This supplements our privacy notice.

Delivering your workbook

Triton Safety Limited trading as Orgma uses the email address you provide to send the workbook you requested. We keep request, delivery and download records to provide the service, resolve problems and prevent abuse. The delivery link expires after 48 hours. The workbook itself does not expire.

Your template and single follow up request

The notice above the template request button explains that you are asking for the workbook and one follow up email from Orgma. We record the wording shown, the request date and your use of the emailed download link. This does not subscribe you to ongoing marketing. You can stop the follow up using your workbook email choices page or the unsubscribe link in the follow up. The new wording applies to new requests only and does not change what earlier downloaders agreed to.

Your separate tips and offers choice

The additional optional box asks for three practical training matrix emails over ten days, plus occasional Orgma tips and offers. We only start the series after you confirm your choice on the page opened from your email. Downloading alone does not subscribe you.

We record when and how you requested, confirmed or withdrew consent and the wording version. Use the unsubscribe link in any marketing email to stop without logging in. Clicking through to Orgma does not stop the introductory series. If you separately choose progress linking, confirmed account progress can change the guidance, and a first checked record or active paid subscription stops the introductory series. This does not withdraw consent to occasional future tips and offers. Without that choice the three-email series follows its schedule.

Optional product progress linking

On your private workbook page you can separately choose to link account progress for 90 days. We match the confirmed Orgma account email to the template request and record a workspace reference and milestones: workspace connected, first checked certificate with saved evidence, a later app visit, and subscription status. This lets us tailor the tips you requested and assess whether the template helps customers use and buy Orgma. It is optional and does not affect the workbook, account access or prices.

Use the same email address for the template and Orgma for this link to work. No certificate contents, employee names or document filenames are copied into the marketing database. Our Supabase app database holds the account linkage; Netlify holds the template request and permitted milestones. No account credentials are shared with the website. Stop linking from your workbook email choices page or the getting started panel in Orgma. We remove the product linkage and milestones on withdrawal or expiry after 90 days.

Providers and retention

Netlify hosts the request service and database. Resend sends the emails and manages delivery failures, hard bounces and spam complaints. We do not upload your workforce data from the workbook. Requests without confirmed marketing consent are deleted after 30 days, or when a separately authorised 90-day progress link ends if that is later. Expired delivery tokens are deleted after a further seven days. Confirmed contact and consent records are reviewed within 24 months if no ongoing relationship develops. We retain the minimum suppression information needed to respect an unsubscribe. Our hosting and email providers keep their own operational logs under their retention policies.

Measurement and your rights

Optional analytics on the public template page follow your cookie choices. We measure successful request submissions and clicks towards Orgma without passing your email address or workbook access token to analytics. The private workbook page has no analytics tags. A click towards Orgma does not establish that an account was created or that a record was saved.
